Booking information, quotations, and your choices.
Private reviews: when you use the Reviews form, we store your name, email, rating, account of what we helped with and how we did, experience date, optional request reference, authenticity and consent confirmations, submission timestamp and an abuse-prevention IP record. We use this feedback internally to improve our service, check the experience and follow up with you. Reviews are not published on RoboHours or sent to Google, Trustpilot or other review platforms. Submission does not give permission for publication or marketing. The details are self-reported, not independently verified. Contact us to request a correction, withdrawal or deletion; applicable retention obligations may still apply.
Last updated: 22 October 2026. This policy explains how RoboHours uses personal information and quotation data. It is a draft for legal review; it does not limit rights you have under applicable data-protection law.
When you send a booking or consultation request, we store your name, organization, email address, telephone number, request notes, robot choices, location, dates, response preferences, and consent choices. We use these records to process your request, contact you, request partner quotations, maintain request history, prevent misuse, and resolve disputes. Request records include a creation timestamp. An optional request for similar robots lets our team and partners suggest alternatives; it is not permission to substitute a robot or charge you without agreement.
We retain supplier quotations, quote documents, prices, currencies, rental periods, locations, and related correspondence, including emails. We use quotation data to maintain our catalog and to calculate, validate, and improve our pricing engine and market estimates. Personal contact details are not inputs to public price calculations. Public estimates use aggregated or de-identified pricing information; confidential supplier identities, private quotes, and correspondence are not published as part of an estimate. 'Pricing engine' means our pricing calculations and does not authorize unrestricted training of external AI models on personal information.
If you separately opt in, we may retain and use your email address and relevant robot interests to send robot offers, availability news, and marketing updates. Marketing consent is optional, unchecked by default, and not required to request a quote. We record your choice with your request. You may withdraw consent at any time using an unsubscribe mechanism in the message or by replying to a RoboHours email. Withdrawal does not stop essential messages about an active request. We may keep a limited suppression record to respect your opt-out.
We share information needed to fulfill your request with relevant rental partners and service providers that support communications, hosting, and record storage. Where a competitive quote process applies, identity and contact disclosure follows that process rather than being published openly. Providers may process data in other countries; applicable privacy safeguards and legal obligations still apply. Partners may also have their own privacy notices.
We retain request, correspondence, and consent records for as long as reasonably necessary to handle requests, maintain business records, resolve disputes, and meet legal obligations; no universal fixed deletion period is currently promised. Quote and pricing records may be retained longer for historical pricing analysis after personal identifiers are removed where practical. You may ask to access, correct, delete, restrict, or export your information, or object to eligible uses, by replying to a RoboHours email or using the contact/consultation request on this site. Requests are subject to identity verification and applicable legal exceptions. You may complain to the relevant data-protection authority. We use reasonable access controls and safeguards, but cannot guarantee absolute security.
When you request an availability alert, RoboHours stores the email address and city and country you submit so our team can follow up if coverage changes. We also use a one-way hash of your network address to limit automated submissions; we do not use it to identify your precise location.
Only if you choose to allow it, RoboHours records an anonymous journey through public pages and selected interactions, plus your country when available. Our first-party browsing analytics records do not include contact details, search text, exact location, or request contents. Analytics records are retained indefinitely without automatic expiry. You can change this analytics choice any time from “Cookie settings” in the footer or below. The same choice covers Google Analytics and the Meta Pixel described next. It is separate from email and booking consent.
Google Analytics 4 measures page views, and loads only if you allow analytics and advertising cookies (Consent Mode starts with analytics and advertising storage denied, and nothing is requested from Google before you choose). Google may process page and technical usage data under its Privacy Policy. RoboHours does not deliberately add contact details, freeform search inputs, or booking request contents to Google Analytics events.
If you email a robot comparison, we keep the recipient email address, selected robot identifiers, and delivery status to manage delivery and maintain an operational analytics history, without automatic expiry. To ask about access to or deletion of your information, contact quotes@robohours.com.
If you send someone the robot simulator, we process the address you enter to deliver that one-time email. Your agreement to processing your data and contacting you with offers applies to you, not to another recipient; sending a simulator link does not subscribe that person to offers. Simulator shares do not currently trigger future offer emails.
The robot finder processes your description and selected location through an AI model accessed via Replit AI Integrations and OpenRouter. It receives only public robot catalog facts, not client, operator or other private records. Please do not enter personal contact details or confidential information. Each submitted question is recorded with your IP address, submission time, basic device/browser information, page, and outcome for service monitoring, including refused and limit-blocked requests. These operational analytics records are retained indefinitely without automatic expiry and can be viewed only by authorized staff; they are not available to the chatbot or sent to advertising analytics. This service logging is separate from optional browsing analytics. Your current chat and earlier conversations are saved locally in this browser so you can reopen them. Reset starts a new chat and keeps the previous conversation in local history. You can remove this browser's saved chats by clearing site data.
Meta Pixel measures public page views for advertising and can use Meta cookies to match visits with Facebook or Instagram accounts. It loads only if you allow analytics and advertising cookies, and only on public pages. Private account, operator and booking-link pages are excluded, and RoboHours does not send form contents or enable automatic form matching. Meta processes this information under its Privacy Policy. A tracking image is not used when JavaScript is disabled, so it cannot bypass these controls.
